Loading the Handheld

At the beginning of the day or week, the Dolphin is loaded with the locations and machines that are scheduled for collection, including previous meter readings, expense detail, tax rates, location commission detail, etc. Each handheld holds more than 1,000 machines, and retains its data even with the battery removed.

At the Location

The collector scans the barcode label on the machine with the handheld's laser scanner, and the Dolphin displays the machine's information. The collector may also search through a list of machines at a location instead of scanning the barcode to find the correct machine. The handheld automatically presents the screens appropriate for that machine, including meter readings, token or inventory counts, actual cash, expenses, etc. It supports all pre-loaded formulas and functions of ezRoute Pro, such as taxes, expenses, and commission schedules, and does all calculations automatically when programmed to do so. Even the most elaborate expense and commission plans are supported by the handheld.

Each of the handhelds has its own controls file and can be set up with different options that vary from one collector to another.

Special functions are incorporated for operators of payout machines. After keying meter readings, the handheld displays calculated cash in, cash out, and net based on meter travel. The collector enters actual cash in and actual payouts. After the last machine in the location is keyed, the location is finalized. During this step, location expenses are reported, and the total settlement to the location is calculated.

The handheld provides reporting functions for cash accountability. Totals for each location or for the route may be displayed at any time, as well as individual machine summaries. Data can be edited and errors corrected with ease.

On-Site Receipt Printing

With the optional O'Neil microFlash2T printer, you can leave a detailed receipt with the location. This is a belt-mounted, wireless printer that gets the information from the handheld via infrared (much like your TV remote control) or Bluetooth. The system can be configured to automatically print two receipts, one for the location, and one to be returned to the office with the signature of the appropriate person from the location. Several popular formats of the receipt are available at no charge, and custom modifications can be developed for a nominal charge.

Downloading the Handheld

When the collector has finished entering collections on the handheld, it is placed in the docking station and its information downloaded to the home office computer system. The time-consuming task of keying collection data is eliminated at the office. Immediately after downloading, all the data entered on the handhelds can be viewed, proofing reports printed, and corrections made easily on the home office computer system before posting. The next day's (or week's) schedule is uploaded and the handheld is recharged for the next use.

Many management tools have been incorporated in this system. The Dolphin records the date and time for each activity, providing a virtual timecard for each collector. In addition, unusual transactions are flagged for management review, such as excessive over/short vs. meters, meter resets, recalculation of location commissions, collector comments, etc.

Benefits You Can Expect

The Dolphin 7600's automated collection process provides many benefits. These include dramatic savings in personnel wages: printing collection tickets and data entry of collections are both eliminated at the central office. Accuracy is improved and errors are reduced due to the elimination of both handwritten recording of meter readings by the collector and the entry of those readings into the computer by the data entry person.

Remote handheld systems provide additional cost savings for large, multi-office operations. Collection files are uploaded by the central office to the Coin ConneXion secure website, then retrieved by the remote collector when it is convenient. This eliminates the expense of printing and shipping preprinted collection tickets. At the end of the day or week, the collection file is downloaded to the local PC, then uploaded to the Coin ConneXion website for the central office to retrieve at their convenience.
